To sound polite, turn your need into a choice frame; use could/would or I was wondering if for extra softness.

Introduction

Politeness gives choice

English often shows politeness by giving the other person room to choose. A bare command can sound too strong in everyday situations, so speakers often use modal questions or soft openings. “Could you send me the link?” asks for help. “Can I sit here?” asks permission. “Would you like some coffee?” is an offer or invitation. “Let me check that for you.” offers help directly. The same grammar can sound friendly, professional, or formal depending on the words around it and your tone.

Could and would soften the force

Softening works by adding a little social distance. Can and will are direct; could and would usually feel more careful. “Can you call me back?” is normal between people who know each other or when the request is small. “Could you call me back when you have a minute?” sounds less demanding. “Will you sign here?” is clear and direct. “Would you sign here, please?” is softer and more formal. In these requests, could and would do not mean past time; they make the request feel less forceful.

Offers, invitations, and suggestions

Offers usually put the helpful action on the speaker. “Can I help you?” is a standard offer. “Shall I carry that?” offers to do something and is common in service, planning, and British English. Let me + base verb gives a direct helpful offer, as in “Let me check that for you.” Invitations often use Would you like ...?: “Would you like to join us?” Suggestions for a shared action can use Shall we ...?: “Shall we meet at six?” Shall we is about what we do together; Shall I is about what I offer to do.

See the sentence in functional pieces. In “Could you send me the link?”, “Could you” opens a polite request, and “send me the link” names the action. In “Would you mind closing the door?”, “Would you mind” asks whether the action is a problem, and “closing the door” is the required -ing action. In “I was wondering if you could help me tomorrow,” the opener delays the request, “you could help me” contains the real request, and “tomorrow” sets the time. The softening usually comes before the main action.
Usage rules

Rules that affect tone

Please can be added, but it does not fix a sentence that is too direct or angry in tone. With direct requests, please often comes at the end or after the opener: “Could you not park here, please?” Negative requests often need careful wording because they can sound like correction. With Would you mind if I ..., use a clause after if: “Would you mind if I opened the window?” In many varieties, the past form opened makes the request softer, not necessarily past. A positive answer to Would you mind often has negative wording: “No, not at all” means permission is given.
